The eLink Lite account management system gathers some basic information on the organisations and users of eLink Lite. This information is initially captured during the registration process and may be extended or altered subsequently. This information is retained by eLink Lite for system management purposes. However, eLink Lite also creates some company and contact records in the client databases based on the information provided.
Each user of a particular database will have a corresponding contact record matching the basic information provided through the eLink Li te account management system. Adding users will generate additional contact records for these additional users. Subsequent changes in their details as entered through the account management system will automatically be reflected in the contact records. The primary purpose of these contact records is to enable the Link notification system to operate correctly. The presence of these contact records allows the Link notification system to identify an email address (as supplied in the contact record), with a particular user account.
Company records are also created in the client database automatically, one record for the main company registered under eLink Lite and one for the billing company (if any). Any changes in the company data will automatically be reflected in changes in the corresponding company records. If a billing company is added or removed at any time, the corresponding company records will be affected accordingly. These company records are provided for the general convenience of eLink Lite users, so that changes in the information need only be entered once – in the eLink Lite account management system.
The company records are automatically linked to all the automatically created contact records and to each other.
All automatically created contact and company records are read-only to other users. This is to ensure that they are not inadvertently tampered with. Users may link other records, including companies, documents etc to the automatically created records in the normal manner.
It is imporant that the links between the automatically created records are NOT tampered with in any way because the eLink Lite account management system uses these links to locate the records. Note that special identifiers are used to distinguish these links from normal links between the automatically created records and other records. Again, it is important to ensure these special values are not used for any other purpose. Failure to do so may cause failure of the eLink Lite database.
The special values include the company/contact rank ‘eLink Lite’ and services ‘AH Main’ and ‘AH Billing’.
